Salon cancellation and no-show policy: a template you can copy

A policy nobody has read protects nobody. The salons with the fewest no-shows have a short policy, show it before the client books, and apply it the same way to everyone. Below is wording you can copy and adapt. It is general guidance, not legal advice.

What a good policy covers

  • How much notice you need to cancel or move an appointment.
  • What happens when notice is shorter than that.
  • What counts as a no-show and what it costs.
  • How late a client can arrive before the appointment is shortened or lost.
  • Whether you take a deposit, for which services, and when it is returned.

Template: cancellation

"We ask for at least 24 hours' notice to cancel or move an appointment. With 24 hours' notice or more there is no charge. With less than 24 hours' notice, 50% of the service price is payable. We will always try to fill the slot, and if we do there is no charge."

Template: no-shows

"If you miss an appointment without telling us, the full price of the service is payable. After two missed appointments we may ask for payment in full when you book."

Template: late arrival

"If you arrive more than 15 minutes late we may need to shorten or rebook your appointment so the next client is not kept waiting. The full price still applies."

Template: deposits

"A deposit of 25% is taken when you book. It comes off your bill on the day. It is returned in full if you cancel with at least 24 hours' notice."

Keep it fair and lawful

  • Show the policy before the client books, not after.
  • Charge what you have actually lost. A fee far above your loss can be challenged as unfair under consumer law.
  • Make exceptions for illness and emergencies, and say so.
  • Write down what was agreed when you waive a fee.

Where BookBook helps

Clients can cancel or reschedule online from their account, and rescheduling closes 24 hours before the appointment. You can mark a booking as a no-show, and the booking report shows your no-show rate, so you can see whether the policy is working.

Frequently asked questions

Can I charge a no-show fee in the UK?

Yes, if the client was told the terms before booking and the fee reflects your real loss. Keep a record of what the client agreed to.

How much notice should I ask for?

24 hours is the usual figure for most services. For long appointments such as colour corrections or bridal work, 48 hours is common.

Where should I show the policy?

On your booking page, in your confirmation message and at the desk. One short paragraph is enough.
